We hope you and your families are staying safe and healthy.
We’ve been working hard to bring you several important enhancements that will help with the recovery of COVID-19 missed appointments and assist with maximizing the scheduling of patients now that offices are starting to re-open.
Here are the first of a few exciting new enhancements we’ve made. More to follow soon!
Short Notice COVID Missed Patient Flag
Using the RecallMax Short Notice List is a great way to quickly fill openings in your scheduler. We’ve added a COVID Missed/Cancelled flag on the Create Short Notice window that can be used to flag patients that have missed their appointments due to the pandemic. Once you return, it may not be easy to find appointments for these patients if your hygiene and recall schedules are pre-appointed, and this flag will help you do so quickly and efficiently.
When adding a patient to the RecallMax Short Notice list, you’ll see the COVID Missed/Cancelled check box in the window. Select that option with any or all of the other availability settings for that patient and click Submit.
You’ll see COVID flag for a patient on the Short Notice tab….
…and on the patient detail panel.
Now when using the Short Notice list to fill an appointment, you’ll see in the List Filter window, all of the usual options PLUS the option to Show ONLY COVID Missed/Cancelled patients.
Again, a great way to laser focus the distribution of the short notice list notification to only those patients that have missed appointments due to the pandemic.
Missed/Cancelled List Enhancement
You already know that the Missed/Cancelled list is a great way to view and re-book patients that cancel or no- show.
We’ve now extended the list to go back 180 days for all practices and the list will continue to collect patients that have not been in for appointments during the crisis.
Important Note: The Missed/Cancelled list will only display appointments that are still in your scheduler! If an appointment has been deleted it will not show up on this list.

Patient Email Message Editing
How many times have you wished you could quickly alter the content of your automated patient messages? With the reopening of offices, it’s essential that patients are reassured regarding the safety of their appointments and provided with important appointment information. Practice administrators now have the ability to add custom wording to email messages quickly and easily!
Simply navigate to your RecallMax Dashboard and select Patient Messages under Settings from the left side menu.

Select the message that you’re looking to change (1).
Then, click the Edit Wording button below. (2)
You’ll see a handy live preview of that message at the bottom of the screen (3).
This is where you can select to;
Add Wording After Greeting (something urgent such as COVID related protocols)
Add Wording Before Signature ( parking lot construction or building elevator not working)
Add Wording After Signature (food bank drive)
Simply select the appropriate option and you’ll see a window appear in the preview and this where you’ll add your additional wording.
For this example, we’ll select Add Wording After Greeting (1) and add a note about COVID safety measures at the practice (2).
Select Save, Cancel or Preview at the bottom of the page.
Let’s say you wanted to add the same message to your One Week list. It’s easy! You don’t have to type in the same message again, we have a built in clipboard to lend a hand.
Select the One Week Message (1) and again, select Edit Wording (2).
Again, you’ll click Add Wording After Greeting and this time, select the Copy From button
Now a window pops up with the option to select the previously used, “Our office has re-opened and we are taking extensive measures to protect the safety of our patients (1).
You can also choose to replace what is currently in the text area or Append to to the end of existing text using the checkbox (2)
Clicking OK will paste that same message into this One Week message (3).
Click Save at the bottom and you’re done!
At this point, you can now add the message to your Two Week reminder!
You can edit messages for the following lists; Day of Appointment, Reminder, one Week, Two Week, Save the Date, Due, Late. Overdue, Past Due, Reactivate, Survey and Short Notice messages. Birthdays are excluded.
Call Coaching Editor
If you didn’t already know, our built in Call Coaching is a great way to create continuity when staff are speaking with patients and can also be used as a teaching tool for new staff just starting to manage recall and confirmations.
Well, we just made this great tool even better…
Practice administrators can now edit the Call Coaching text to add personalized wording for your individual clinic. This can be used to ensure COVID-19 related appointment procedures are clearly explained to patients and patients are properly screened for symptoms prior to their appointments. Other uses include any information you would want to convey to patients as an extension of your regular confirmation and recall procedures - i.e. office re-location,etc.
You can customize and preview the text before saving it and even reset to the default wording if you’re unhappy with the changes made..
Here’s how to customize the scripts for your practice.
Navigate to your RecallMax Dashboard and select Call Coaching.

Use the pull down menu option to select the script you’d like to customize.
For this example, we’re going to add a COVID checklist to the Reminder List script.
Using the buttons at the bottom of the page you can now Save, Cancel, Reset to Default or Preview your changes.
Now when you click Call Coaching in the RecallMax toolbar (1), you’ll see the additional wording has been added for all staff at your practice!
